Acceptable Use Policy

This Acceptable Use Policy (“AUP”) sets out the rules that apply when you use TimeGrid. It supplements the Terms of Service and Privacy Policy.

1. Authorised Use Only

TimeGrid is provided solely for DevGrid business purposes — logging and reporting working time on DevGrid projects and client engagements. You must not use it for personal time tracking or any purpose outside your role at DevGrid.

2. Keep Your Account Secure

  • Do not share your credentials or let anyone else log in as you.
  • Do not access another user’s account without explicit authorisation.
  • If you believe your account has been compromised, notify privacy@devgrid.co.uk immediately and sign out of all sessions.
  • Sign out of TimeGrid on shared or public computers.

3. Accurate Time Logging

  • Log time honestly and to the best of your knowledge.
  • Do not inflate, deflate, or fabricate time entries.
  • Correct any genuine errors promptly and, where material, notify your manager.
  • Do not delete or alter another user’s entries (unless you are an admin carrying out a legitimate administrative action).

4. Prohibited Conduct

You must not:

  • Attempt to gain unauthorised access to any part of the system, including admin functions, other users’ data, or the underlying server.
  • Probe, scan, or test the security of the application without prior written approval from DevGrid.
  • Attempt to reverse-engineer, decompile, or extract source code from the application.
  • Introduce malware, viruses, trojans, or any malicious code.
  • Use automated scripts, bots, or crawlers to interact with TimeGrid.
  • Scrape, export, or mirror application data in bulk without authorisation.
  • Attempt to disrupt or degrade service availability for other users.
  • Use TimeGrid in any way that violates applicable law, including the Computer Misuse Act 1990 and UK GDPR.

5. Free-Text Content Standards

TimeGrid allows free-text input in fields such as time-entry descriptions and the feedback tool. Any content you submit must:

  • Be accurate and professional.
  • Not be defamatory, offensive, harassing, or discriminatory.
  • Not contain personal data about third parties beyond what is necessary for the purpose (e.g. a client project name).
  • Comply with DevGrid’s internal code of conduct.

6. Data Protection

When using TimeGrid you may handle personal data about colleagues or clients (for example, referencing a person in a time-entry note). You must handle such data in accordance with UK GDPR and DevGrid’s data protection policies. See the Privacy Policy for details of how we process your own data.

7. Consequences of Breach

A breach of this AUP may result in:

  • Immediate suspension or permanent removal of your access to TimeGrid.
  • Disciplinary action in accordance with DevGrid’s employment or contractor policies.
  • Civil or criminal proceedings where the breach constitutes an offence (e.g. under the Computer Misuse Act 1990).

DevGrid reserves the right to investigate suspected breaches and to cooperate with law enforcement or regulatory bodies where required.

8. Changes to This Policy

DevGrid may update this AUP from time to time. Significant changes will be communicated via email or an in-app notice. The current version and effective date are always shown at the top of this page.

10. Governing Law

This AUP is governed by the laws of England and Wales. Any disputes are subject to the exclusive jurisdiction of the courts of England and Wales.
